Employee welcome kit: what to put in it

Updated 19 October 2026

A welcome kit is the first thing a new employee receives from the company. Done well, it says "we were expecting you" and puts useful things with your logo on their desk from the first day. Here is how to put one together.

The usual contents

  • **A diary or notebook** — for the first weeks of notes and training. See notebooks.
  • **A pen** — a metal pen feels like a proper welcome; a plastic pen keeps the cost down.
  • **A bag** — a canvas or travel bag to carry the rest home, and used for years after.
  • **A desk item** — a pen stand, a paper weight or a table clock.
  • **Something for the commute** — a key ring or a cooler bag for lunch.

Pick four or five items. More than that and the kit becomes clutter.

Matching it to the company

  • **A startup or IT company** might choose a travel bag, a notebook and a desk item.
  • **A bank or insurance company** might choose a formal diary, a metal pen and a table clock.
  • **A factory or field team** might choose a sturdy bag, a pocket diary and a key ring.

Look at the employee welcome kit page for ideas that go well together.

Branding the kit

Put the logo on every item, but not the same way: embossed on the diary, engraved on the metal pen, printed on the bag. A short line — the company's name and values, or "Welcome to the team" — on a diary page or a card in the box finishes it off.

Quantities: order for the year, not the month

Each item has its own minimum order: diaries from 100 to 300 pieces, bags from 300 to 500, pens usually from 2,000. Most companies order a year's worth of welcome kits at once, which brings the price per piece down — each product page shows its price for every quantity band — and keeps kits in stock for every new joiner.

If your hiring is smaller, choose items with a lower minimum and keep the pen for a larger company-wide order, where 2,000 pieces are easy to use.

Budgeting

Set a price per kit and work back from it. A practical kit — notebook, plastic pen, non-woven bag — costs much less than a premium one with a leatherette diary, metal pen and a travel bag. Add products to your cart and download a quotation PDF in your company's name to share with HR and purchase before you decide.

Ordering

Pay the small design & approval charge of ₹250, adjusted in your bill; our studio sends each item with your logo for approval; then you confirm the final quotation with delivery. Most items show about 15 days to make once the design is approved, and we deliver across India to the address you give — to one office, or to each of your offices if you tell us.
